Outlook makes email feel like one thing. Under the surface, it may be three different things at once: a mailbox on a server, a local working cache, and a portable data file. Those copies do not fail in the same way, and they are not equally useful when you need to recover.
That is why a good Outlook backup plan starts with a more precise question than “where is my Outlook file?” You need to know which copy is authoritative, which copy is only a cache, and which copy remains available if the account, the PC, or the mailbox itself is damaged or deleted.
The short answer
If you want a simple way to back up Outlook emails, export the mailbox or important folders to an Outlook Data File (.pst), verify that the export contains the messages you expect, then copy that completed PST to storage that is independent from the PC. For ongoing protection, keep more than one dated version instead of repeatedly overwriting the only export.
If Outlook is connected to Microsoft 365, Exchange, Outlook.com, or many IMAP accounts, the local .ost file is normally a synchronized cache of server data. Microsoft explicitly says that an OST usually does not need to be backed up because Outlook can rebuild it from the server. The thing worth protecting independently is the mailbox content itself — typically by export or by a purpose-built application/mailbox backup workflow.

They solve different problems, so the strongest setup may use both.

1. Map the Outlook copies you actually have
Before you copy a file, identify what Outlook is doing with your account. Two Windows PCs can both display the same Inbox while using completely different storage models.

This table explains a common false sense of safety. A user sees “two copies” — Microsoft 365 online plus an OST on the laptop — and assumes that means backup. But those two copies are designed for synchronization and availability. If a message is deleted or altered and that change synchronizes, the cache follows the mailbox. The copies are connected by the same state.
The recovery copy should have a different job: preserve a state you can return to even after the live mailbox has moved on.
2. Understand PST vs OST before backing up anything
PST: portable, local, and worth protecting
A Personal Storage Table (.pst) can contain messages and other Outlook items. POP accounts commonly use PST files, and Outlook can also create PST archives or exports from other account types. A PST is useful because it is a discrete file that can be copied to another disk, opened later, or imported back into Outlook.
But “PST” does not automatically mean “backup.” If archive.pst sits on the same SSD as Windows, the same SSD failure can destroy the live Outlook installation and the archive. If ransomware can modify both the original and the PST, the second file may not be an independent recovery path either.
OST: useful cache, bad backup target
An Offline Outlook Data File (.ost) is normally a synchronized working copy for Microsoft 365, Exchange, Outlook.com, and many IMAP configurations. Microsoft’s own guidance says it generally is not necessary to back up an OST because Outlook can recreate it from the server.
That is more than a storage-saving tip. It tells you what the file means. An OST is optimized for offline access and synchronization, not for portable disaster recovery. Copying the OST every night may consume a lot of storage without creating the kind of independent recovery point you thought you were buying.
3. Create a portable PST export
For most Windows users, a PST export is the most understandable bridge between “my mail exists in Outlook” and “I have a file I can store somewhere else.”
Classic Outlook
In classic Outlook for Windows, Microsoft’s current workflow is:
- Open File.
- Choose Open & Export → Import/Export.
- Select Export to a file.
- Select Outlook Data File (.pst).
- Select the account or folder you want, and include subfolders when appropriate.
- Choose a destination for the export and finish the wizard.
There is one easily missed detail for Cached Exchange Mode. Outlook may keep only a limited period of mail in the local cache. Microsoft specifically recommends moving the download slider to All before an export when you want the whole mailbox. Otherwise the PST may faithfully export the cache you had — not the complete history you assumed you had.
New Outlook for Windows
Microsoft now documents PST export in new Outlook under Settings → Files → Export. The app’s PST support has been changing rapidly, so import/open capabilities can differ by build and Microsoft’s help pages have not always updated in lockstep. If PST recovery matters to you, do not merely verify that export works: test the restore path on the Outlook version you actually use.
A completed export should be treated as a snapshot. Name it so a human can understand it months later, for example Outlook-Alex-2026-08-25.pst rather than backup-final-new2.pst.
4. New Outlook and classic Outlook are not the same recovery environment
“Outlook for Windows” is now an umbrella term. Classic Outlook and new Outlook overlap in visible features, but they have different histories, data-file behaviors, and levels of PST support.
This matters during a migration or a dead-PC recovery because the question is not just “do I have a PST?” It is “can the Outlook build on the replacement machine open or import the parts of this PST I care about?”
Microsoft’s current support pages document PST export in new Outlook and also document newer import workflows, while other Microsoft pages still contain older limitation notes. That is a sign of an actively changing feature, not a reason to avoid PST. It is a reason to make your backup plan test-driven.
- Keep the PST as a portable recovery artifact.
- Record whether you normally use new Outlook or classic Outlook.
- After major Outlook updates, open a test copy of the PST and confirm the messages are readable.
- If your recovery depends on contacts, calendar items, or other non-mail data, test those specifically rather than assuming email success proves everything else.
Backup plans age. An export format can still be valid while the restore UI around it changes.
5. A PST export is a snapshot, not a backup history
Exporting once is better than having no portable copy. Re-exporting to the same filename every Friday is better than nothing. But both approaches have a structural weakness: the newest export can replace the last known-good state.
Imagine that a folder was accidentally deleted on Monday, nobody notices until Friday, and the Friday export overwrites the previous PST. The export job completed perfectly. The result is still bad for recovery because it preserved the wrong state.
This is the same reason frequent backup and retention are separate concepts. A safer pattern keeps dated generations:
- Recent: several daily or weekly exports for quick rollback.
- Medium term: monthly snapshots for mistakes discovered late.
- Independent: at least one copy on storage that the Outlook PC cannot silently overwrite all the time.
You do not need hundreds of PSTs. You need enough history to cover the time between “something went wrong” and “someone noticed.”

6. Back up Outlook with Perfect Backup — but choose the right job type
Perfect Backup supports Outlook through its Application Data Backup database. The product page lists Outlook 2013 through Outlook 365 among supported email clients, and the Application Data Backup wizard can send selected application data to a local/external drive, network location, FTP server, Dropbox, Google Drive, or OneDrive.
The important detail is the backup method: Application Data Backup uses Mirror. In other words, it is designed to maintain a current application-data copy. That is convenient for rebuilding settings and data, but it should not be mistaken for a long history of Outlook states.
Use Application Data Backup for convenience
If your goal is “protect the Outlook application data Perfect Backup knows about and make restoration straightforward,” the application profile is the direct route. It also includes related application settings that a hand-picked single-file backup can easily miss.
Use Files and Folders Backup for versioned PST exports
If you want multiple recovery points, create or refresh a PST export in a dedicated staging folder, then protect that folder with a Files and Folders Backup job using Full, Incremental, or Differential backup. Those methods create restore-point history rather than only a current mirror.
One nuance matters with large PSTs. Perfect Backup’s file-level incremental logic identifies files that changed; it is not a promise of block-level delta backup inside the PST format. A single large PST that changes every day may therefore remain an expensive backup object. Separate year/project archives or less frequent full PST exports can be more practical than one ever-growing monolith.
Also avoid assuming that any generic file copier can safely snapshot a PST while Outlook is actively writing to it. For a file-level workflow, the cleanest pattern is to back up a completed export or close Outlook before copying a live local PST.
7. Microsoft 365 keeps your mailbox online — that is availability, not independence
Microsoft 365 and Exchange make PC replacement wonderfully easy. Install Outlook, sign in, wait for synchronization, and the mailbox reappears. That solves hardware failure much better than the old “everything lives in one PST on one desktop” model.
But a cloud mailbox is still the live system. The distinction matters when the failure is logical instead of physical:
- a user deletes a folder and the deletion synchronizes;
- an attacker with account access deletes or alters mail;
- retention settings expire the item you later need;
- an administrator, policy, or account event changes what remains recoverable;
- you lose access to the account itself.
Microsoft 365 includes its own retention and recovery capabilities depending on account type and organizational policy. Those are valuable, but they are not the same architecture as a copy under a separate failure domain.

For a home user, periodic PST exports stored elsewhere may be enough. For a business with legal, compliance, or continuity requirements, a dedicated Microsoft 365 backup service may be more appropriate because it can protect server-side mailboxes without depending on a desktop export workflow. Perfect Backup is a Windows endpoint backup product; it should not be described as a server-side Microsoft 365 tenant backup service.
8. Protect the Outlook data a PST export does not include
PST export is broad, but it is not a perfect image of “everything that makes Outlook feel like my Outlook.” Microsoft notes that export does not include some metadata such as folder properties/views, permissions, AutoArchive settings, message rules, and the blocked-senders list.
That creates two different restore goals:
- Recover the information: messages, attachments, contacts, calendar items and other exportable mailbox content.
- Recover the working environment: application settings, local templates, signatures, rules, preferences and other Windows-side state.
A PST is strongest at the first goal. An application-data backup can complement it for the second.
Do not turn this into a scavenger hunt through AppData unless you have a reason. The point of an application-aware profile is that applications scatter state across folders and Registry keys. If you decide to manually back up a specific Outlook-related file anyway, document why it matters and test whether restoring it actually reproduces the behavior you expect.
9. Choose a schedule that matches how valuable your mail is
Email backup frequency should follow the same logic as any other data: how much recent information could you afford to lose, and how quickly would you notice a problem?

Then layer retention. Keeping four weekly PST exports gives roughly a month of rollback. Adding twelve monthly copies gives a much longer horizon without storing every weekly snapshot forever.
Finally, place at least one generation off the computer. An export saved to C:\Backups is convenient for migration but does not survive the loss of C:. An external drive, NAS, FTP server, or cloud destination changes the failure domain. For ransomware-sensitive data, at least one copy should also be offline or otherwise isolated from the everyday Windows account.
10. Design the restore before the failure
A backup plan is incomplete until you know the first five minutes of recovery.
Scenario A: the PC dies but the mailbox is intact
Install Outlook on the replacement PC, add the account, and let the server-backed mailbox synchronize. Then restore any local-only PST archives or application settings that are not part of the online mailbox.
Scenario B: a local PST is lost or corrupted
Restore a known-good PST generation to a temporary location first. Open or import the copy in Outlook and verify folders/messages before replacing anything. Keeping the restore separate reduces the chance of overwriting the last working artifact while troubleshooting.
Scenario C: mail was deleted and synchronized everywhere
Check the service’s own deleted-item/recovery features first because they may be the fastest route. If the needed state is older than what the service can recover, open the independent PST generation from before the deletion and recover only the needed items.
Scenario D: rebuilding application state with Perfect Backup
Perfect Backup’s Application Data restore documentation says the related application should already be installed and run at least once, cloud synchronization should be disabled where applicable, and running applications should be closed before restoration. That sequence avoids a newly synchronized live state racing against the restored local state.
Common mistakes that make Outlook backups look safer than they are
Backing up the OST
An OST is usually a rebuildable server cache. It can be huge while adding little independent recovery value.
Saving the only PST on the same PC
That protects against some Outlook-level mistakes, but not against disk failure, theft, or ransomware affecting the computer.
Overwriting the only export
A successful Friday export can preserve a mistake that happened on Monday. Keep generations.
Assuming Microsoft 365 sync is the same as backup
Synchronization is excellent for availability. It can also propagate deletion and unwanted changes.
Exporting only the cached year without noticing
Classic Outlook may not have the whole mailbox cached locally. Check the sync setting before a complete export.
Never testing the version of Outlook you will restore with
New Outlook PST support is evolving. A backup format is only useful if your actual recovery environment can read the content you need.

What is the best way to back up Outlook emails?
For a typical Windows user, create a PST export, store it on separate media, and keep multiple dated generations. If Outlook data and settings on the PC also matter, add an application-data backup. For business-critical Microsoft 365 mailboxes, consider a server-side Microsoft 365 backup service rather than relying only on desktop exports.
Do I need to back up my Outlook OST file?
Usually no. Microsoft describes OST as an offline synchronized copy for server-backed accounts and says it generally does not need backup because Outlook can recreate it from the server. Protect the mailbox or export instead.
Does a PST file include attachments?
Yes. Microsoft says email attachments are included when Outlook exports messages to a PST. However, some Outlook metadata and settings are not included, so a PST should not be treated as a complete application-state image.
Can I back up Outlook while it is open?
For a generic file-level copy of a live PST, the safest approach is to close Outlook or back up a completed export rather than assume the file is consistent while Outlook is writing to it. Is Microsoft 365 email already backed up?

That gives strong availability, but it is not the same as an independent copy controlled under a separate failure path. Whether you need another backup depends on your recovery and compliance requirements.
How often should I export Outlook to PST?
Use your loss window. Monthly may be enough for light personal mail that is already server-backed; weekly is a practical starting point for active personal mail; local POP/PST data may justify daily protection. Keep older generations so the newest export cannot erase your only known-good state.
Back up the state you cannot recreate
The easiest Outlook data to recover is often the data people spend the most time backing up. A Microsoft 365 OST can usually be rebuilt. The harder losses are the local PST that existed nowhere else, the deleted folder that synchronized everywhere, or the application state nobody remembered was outside the mailbox.
A good Outlook backup plan therefore does not start with a filename. It starts by identifying the live mailbox, the rebuildable cache, and the independent copy. Export what needs to be portable, version what needs history, place at least one copy outside the PC’s failure path, and test the restore with the Outlook version you actually run.
Add Outlook to your Windows backup plan
